The plan is called “The Merida Initiative”. We, the taxpaying Americans, will be giving $1.4 BILLION to Mexico. Seems that the White House has had this plan in the works for nearly a year with little congressional input. This $1.4 BILLION will be used by the Mexican govt to protect THEIR southern border from drug smugglers from South America.

We can’t finish our own border fence, properly supply our immigration agents and border patrol with all the equipment and resources they need, or get our house in order. Yet, the Bush administration wants to fork over $1.4 billion to Mexico and Central America–with much of it going into the hands of corrupt law enforcement officials and government bureaucrats who have worked tirelessly to undermine our immigration laws. The funding is tucked into the 2008 supplemental budget.

The State Dept. disclosed the first phase of the Merida Initiative last October, involving some $550 million in aid for inspection scanners, helicopters, surveillance tools, and case management software.

Open source software solutions are becoming increasingly common and like certain fast food restaurants (no names will be provided of course), are unbeatable when it comes to “the current culture.” After all, everyone loves a good open source solution. It’s so valuable and so….well, F.R.E.E.

Free for a While?

When searching for a web document management software it’s important to remember that open source options can be valuable but also commonly lead to upgrades that are just as expensive as their corporate counterparts; and even if they are still less expensive, technical support and the quality of fixes, upgrades and enhancements can seriously be lacking. Of course this caution goes for any type of software and only serves to show that it’s the shoppers that really have to do the research.

The Bugs

Open source solutions are great when it comes to creativity and the cool stuff. Sometimes however with all this coolness in the inhalable atmosphere open source designers and developers aren’t as careful to exterminate all of the software bugs that would, at least by most corporate policies be zipped, zapped and buried in a matter of months. Who can blame the open source guys though? At least they know how to have fun!

The Key to Knowing

The key to knowing what software solution you are really looking for is by conducting a savvy financial analysis that consists of three parts.

Overall Ownership Costs

Overall ownership costs are fairly straightforward in terms of flat calculation. To begin your calculations simply start by determining how much the web document management software in question will cost over a period of five years. Five years isn’t necessarily a magic number but it just so happens that software happens to depreciate over that period of time give or take a little. Determining this cost will of course require your sharpest addition skills because you’ll most assuredly be purchasing more than one product or service. Take into account EVERY penny that the vendor plans to charge you for. Consider the primary software cost, validation services, hardware costs, implementation fees, maintenance, IT overhead, upgrades, additional software or any costs associated with revalidation. That’s a lot to consider but well worth creating the picture that provides the first acknowledgment that when it comes to a web document management solution selection your company may–or may not be–headed in the right direction.

Overall ROI

Determining your ROI can be tricky since it’s more of a projection than a determination but this step is as important as the first in painting the picture that will show your company whether or not a web document management solution will function well in a given environment. During the determination of the overall cost of ownership you determined what you would spend over a period of five years. Now, it’s time to determine what you will gain based on the functionality the software can offer. After all, if a software solution isn’t saving you overhead, process management costs what is it good for? You should project what the “sure fire” savings or projected growth will be from the software solution. You may be surprised to find that many of the open source solutions don’t “fit the bill” which may be a direct result of not fulfilling your user requirement specifications in the first place.

Overall Risk of Return

Calculating the risk of return is tricky because it requires an acknowledgment of variability. You should consider the potential variability that will be allowed in terms of your return and then determine whether or not the projects offers a high level or low level of risk for your company.

Conclusion

Determining whether open source web document management software is the right document management solution requires the same types of research that any other corporate system would require.

I have another post out on this topic. Someone responded advising me to get certs like PMP or Six Sigma. However, these certs are expensive and nearly impossible to get unless you are already working as a PM for some company. How can I break into such a job with my current background of systems, software, and small business so I can finally get on a new career track? I’ve worked with people that have or were getting PMP certs but I never quite understood how they got there other than company politics, right place right time, etc. Is it really that tough? Any practical way to do this? Thanks.

I am BTech grad from Mumbai (India). I have had a short stint at a S/W development company where I developed a software using Java. I soon realized that the most important part of it is the System Analysis and Design aspect. I want this to be my career but don’t know how to get into it. If I work as programmer I will be stuck mastering J2EE and databses like Oracle for at least 2-3 years. And after all that hard work I wouldn’t want to turn my back on it by doing a MBA & try for management positions which could lead to roles similar to what I aim for. I want to know about positions where I can start as close as possible to my dream job of understanding business processes and designing the interfaces or whole software on an enterprise level. If prgraming has to be the way, is SAP a better option for me? Right now I know little abt it and don’t know what role do I start with in SAP. Please guide me to shape my career by suggesting roles, qualifications & experience I should look out for.

WOW! You sure have made my day by answering my question in so much detail. However, I don’t think the steps you mentioned are practical for me (especially 1 & 2). I have already done graduation in Technology and thus can’t afford to spend more time & money, by doing a BBA. I understand becoming a USER of the ERP systems is crucial for my career goal. Right now, I can only try for jobs which allow me to implement them or give support to such systems. I can also try for positions of ABAP programmer. These are the options which I have right now & need to know other more. I am sorry but I can’t take a U turn like you have suggested. Is there any way I can find my way into System Analysis & Design, based on my qualification so far. You can point out to specific courses or jobs which I should vouch for to get as close as possible to this dream career. Thanks a lot for taking time out to help me. Have you ever heard of property management?  How about property management software?  These are just some of the jargons used when it comes to real estate business.

Property management means managing different types of properties such as commercial, industrial and residential that involves two key players in the business.  These are the landlords and the tenants.  The landlords monitor their tenants, collect rent from them and help address their client’s problems.  The tenants are those that rent a vacant space in the property.  This system has been going for several years now without any significant changes except today with dawn of property management software.

Firstly, the software on property management helps in monitoring tenants’ payment history thru an online payment history feature which tenants can access using their personal account on the community website found on the internet.  This special feature allows them to view their previous payments as well as the current status of the present month.  As an added feature for landlords, they can send email notifications to their tenants reminding them of their past dues as well as a payment that needs to be made for the present month.

Secondly, the software is in charge of collecting the monthly rent instead of the landlords making it more convenient for latter with its online payment option.  Just as the name suggests, it provides 2 options when making payment which is either thru the use of any major credit card or electronic check allowing them to pay from just about anywhere. They can also pay at any time of the day everyday of the month.  Using this software definitely is a time and money saver as it spares landlords from having to travel just to collect rent.

Lastly, the software serves as a venue for the exchange of significant information between the landlord and the tenants.  It permits tenants to send their individual concerns directly to the landlords in the hopes of a speedy response from landlords who religiously must address their replies.  They can also post important information on the community website to address the general concerns.  Such a system definitely helps in bridging communication between landlords and tenants.

Thus, property management software is indeed very helpful in a property management business.  It monitors tenants, collects rent from them, and provides a good location for communication between landlords and their tenants.  It’s definitely something worth investing on if you have this kind of business.
